Cyclefest 2008 Vendor Application

TERMS AND CONDITIONS

General

•  Any unauthorized use of Arizona Bike Week® name and/or logo is prohibited by law. 

•  ABW®/FX Promotions, Inc. reserve the right to refuse service to anyone. 

•  Any merchandise that displays foul language or obscenity must be cleared in advance with ABW®.

•  Any vendor selling knives, swords, or any other weapon must be secured from public access and must be cleared with ABW®. No Firearms Sales! 

•  Spaces will be pre-assigned. ABW® will not guarantee specific locations. 

•  The playing of ambient music must be confined to the vendor rental space area.

•  Vendor merchandise infringing on copyrights shall be removed from the event. 

•  Vendor space subletting without written permission from ABW® is not permitted.

•  Event Sales Tax Permit is required by the City of Scottsdale.  Click here for applications.

• Vendor camping (Dry or R.V. hook-up) is available but is not included in vendor rental fee. For reservations & information contact WestWorld at 480-312-6802.

Vendor operations

•  Vendor Setup will begin on March 31st and April 1st, 8am – 5pm.

•  Vendors must rent or supply their own tent, canopy, tables, chairs, etc. 

•  All vendor booths MUST be in place by April 2nd at 10am. ABW® will provide a marked space.

• From April 2nd  – April 6th all vehicles must be off vendor grounds by 10am. NO EXCEPTIONS.

•  A vendor parking area will be assigned adjacent to the venue for vehicles including stock trucks and trailers.

•  Hours of operation are Wednesday April 2nd-April 5th 10-am to 7-pm, Sunday April 6th 10-am to 6-pm (No teardown before 6-pm)

•  Electric Service included in your space rental will be available during event hours, one hour before and one half hour after.

• All vendors MUST be off the event site by April 7th at 12am (midnight).

• ABW® requests that all vendor spaces remain open and staffed during event hours.

Vendor Safety

All vendors will obey all pertinent fire and safety codes, laws, ordinances and regulations as mandated by the City of Scottsdale, State of Arizona, and ABW®. (Please no alcohol or firearms permitted)

Per fire safety codes, canopies provided by vendors must be fire retardant.

A Certificate of Liability Insurance is required with a General Aggregate of $1,000,000.00 U.S.D. naming
FX Promotions, Inc., Arizona Bike Week®, and WestWorld as additional insured.
Please mail or fax insurance certificate to FX Promotions at the address or fax number identified below.
 

Vendor Acceptance

I, the undersigned, hereby contract with ABW® for vendor space(s) at the 2007 CycleFest at WestWorld, Furthermore, I release ABW®, WestWorld, the City of Scottsdale and FX Promotions, Inc. from all liability.

I have read and agree to the terms, conditions, and liability insurance requirements herin.
